1.0 General

When you do business with K7 Machinery, personal data about you is collected.

The guidelines for processing this data are based on the EU General Data Protection Regulation, effective in Denmark from May 25, 2018, as well as the new Danish Data Protection Act, which supplements the rules in the GDPR and the current Personal Data Act (collectively referred to as “applicable legislation”).

Below, you can read about the information collected, including how the data is processed, what it is used for, who has access to it, and who you can contact if you have questions or objections regarding the collected data.

2.0 Personal data

2.1 What is personal data?

K7 Machinery requests your basic contact information when you do business with us. This is primarily information such as name, address, postal code, telephone and mobile number, email, etc. Information regarding limited companies or private limited companies’ names, addresses, etc. does not relate to a natural person and is therefore not covered by the GDPR.

The personal data we collect is used to identify you as a customer and to deliver the services you have purchased from us. The personal data we collect in connection with our business relationship will be stored in our IT system and/or in a physical register.

2.2 How long do we store personal data?

The storage of personal data depends on the duration of your engagement with K7 Machinery.

When you do business with us, we need your personal data as documentation until the service is paid and delivered, any cancellation period has expired, and the deadline for payments has passed.

During the ongoing customer/supplier relationship, the information we have collected about you is stored in our IT system, after which the data is archived. As a rule, under applicable legislation, your personal data will be stored by K7 Machinery for a period of 5 years from the end of the financial year to which the material relates. For example, if your engagement with K7  ended in November 2017 and the financial year follows the calendar year, the company is obliged by law to store the data until at least the end of 2022. When the personal data is no longer relevant and we are not obliged to retain it, all personal data concerning you will be deleted.

2.3 What do we use personal data for?

The personal data we collect about you in connection with your engagement with K7 Machinery is primarily used for general customer administration, including fulfilling the agreement you have entered into with us and issuing invoices. As a rule, the information will not be disclosed to third parties. However, your basic contact information may be passed on to our business partners if we need their assistance in fulfilling the agreement.

In addition, we may process your data if the processing is necessary for MØN MASKINBYG A/S (or a third party) to pursue a legitimate interest, unless your interests override this.

Other disclosure is only permitted if applicable legislation exceptionally allows the disclosure of personal data.

2.4 The right to access your personal data

As a customer of K7 Machinery, you have the right to obtain confirmation of whether personal data concerning you is being processed and, if so, access to that data.

You are also entitled to request and receive personal data about yourself that you have provided to K7 Machinery (data portability). You are further entitled to object to the processing of your personal data.

2.5 The right to rectify your personal data

You have the right to have inaccurate personal data about yourself corrected by K7 Machinery without undue delay.

2.6 The right to delete your personal data

You have the right to have your personal data deleted by K7 Machinery without undue delay if the company no longer has a legitimate interest in retaining it. Please note that if K7 Machinery is required by applicable legislation to retain the data, you cannot demand that your personal data be deleted.

2.7 Protection of personal data

According to applicable legislation, your personal data must be stored securely and confidentially. The personal information you provide is stored in K7 Machinerys IT system. Our security measures are continuously reviewed to ensure that the processing of personal data is handled properly and with regard to your rights as a customer.

2.8 Changes in the processing of personal data

We reserve the right to update and amend these guidelines for the processing of personal data. If the guidelines are changed, the date of “last updated” at the bottom of the page will be adjusted. These guidelines are evaluated and, if necessary, revised once a year.
